By the numbers
Eleven hours of manual reporting a week became twenty minutes — with fewer errors than ever.

01 — The Challenge
What was getting in the way.
Six spreadsheets, three time zones and no single source of truth for a fleet on the road.
Dispatchers reconciled exports from a legacy TMS by hand every morning, chased proof-of-delivery photos over WhatsApp, and marked exceptions in a spreadsheet that was already stale by the time the first shift called about it.
A missed row meant a missed delivery window. The operations team was spending eleven hours a week producing reports that described the business yesterday — instead of running the business today.
02 — The Approach
How we tackled it, step by step.
- 01
Map the real workflow
We shadowed dispatch across two shifts and sat with depot managers. The system was designed around what people actually do, not what the process document claims.
- 02
Build the single source
A role-based dashboard with live vehicle status, exception flags and a daily view each depot owns — one screen instead of six files.
- 03
Integrate, don't replace
Two-way sync with the existing TMS and telematics APIs meant no rip-and-replace: the new dashboard sat on top of systems the team already trusted.
- 04
Roll out in waves
One pilot depot, one week of feedback, then a staged rollout with hands-on training — so adoption was earned rather than mandated.
03 — The Results
What changed after launch.
- 01Manual reporting dropped from 11 hours a week to under 20 minutes
- 02Dispatch data errors fell 64% in the first quarter
- 03Exception handling time cut by 40% across all depots
- 04Rolled out to 5 depots and 60+ daily users in 12 weeks
- 05Six spreadsheets and a WhatsApp workflow replaced by one live view
For the first time, everyone is looking at the same number. The morning reconciliation meeting simply stopped existing.
